Hotel PMS, channel manager and booking engine: what each one does

A hotel PMS (property management system) runs the property: reservations, room allocation, check-in and check-out, guest bills and rates. A channel manager sends your availability, rates and restrictions to online travel agents such as Booking.com and Expedia, and brings their reservations back. A booking engine takes direct bookings on your own website, so no travel agent commission is due on them.

All three work from the same room inventory, which is why they are often sold together and often confused. Overbookings and rate errors tend to start at the points where one system hands data to another, so it helps to know which system is responsible for what.

What does a hotel PMS do?

The PMS is the operational record of every stay. Its usual functions are:

  • Reservations from direct, online travel agent and walk-in sources, with availability by room type
  • Front desk work: check-in, check-out, room moves, early arrivals and late departures
  • Room assignment, matching guests to physical rooms by type and preference
  • Housekeeping status, so reception knows which rooms are clean and ready
  • Guest folios with charges, taxes and payments
  • Rate plans and pricing settings
  • Reporting on occupancy, ADR and RevPAR

In a typical setup the PMS holds the master inventory and rates and pushes them out to the other systems. When a booking arrives from any source, the PMS reduces the rooms left to sell for those nights.

What does a channel manager do?

A channel manager connects your inventory to third-party channels: online travel agents, metasearch, retail travel agents and global distribution systems. SiteMinder, which sells one, describes a channel manager as a system that lets a hotel list room inventory on all its connected booking channels, keeping those listings accurate so the risk of double bookings falls.

Data moves in both directions. In a two-way connection, the PMS pushes availability, rates and restrictions to the channel manager and receives new reservations, modifications and cancellations in return. When a room sells on one channel, the channel manager updates the others.

Without one, someone updates each channel's extranet by hand. On a busy night, a late update is how the last double room gets sold twice.

What does a booking engine do?

A booking engine is the booking flow on your own website. The guest picks dates, sees the room types and rates you have chosen to show, adds any extras and pays or guarantees the booking. Because the booking is direct, there is no travel agent commission, and you hold the guest's details from the start. The booking engine provider may still charge its own fees, so check how it prices.

It needs live availability and rates, so it reads them from the PMS or receives them through the channel manager. A booking engine can also sell packages and add-ons such as breakfast or parking.

How do the PMS, channel manager and booking engine work together?

Follow one booking through a connected setup. A guest books a double room for two nights on an online travel agent. The channel manager receives the reservation and passes it to the PMS, which records the stay and reduces availability for those nights. The new availability goes back out, the channel manager updates every other channel, and the booking engine on your website shows one fewer double room for those dates.

Most of the setup work is mapping. Each room type and rate plan in the PMS has to match the right product on each channel, and the restrictions you use, such as minimum stays, closed to arrival and stop sell, need to be supported at both ends. A rate plan that exists in the PMS but is not mapped to a channel will not appear there at all.

Do you need all three?

Every hotel needs a PMS, or a platform that does its job. The need for a separate channel manager depends on how many third-party channels you sell through: a small property on one travel agent can manage its extranet by hand, while a hotel on several channels needs automatic updates. A booking engine is worth having as soon as you want direct bookings at all.

Some vendors sell all three in one product, and others specialise in one and connect to the rest. Before you buy or connect anything, ask these questions:

  • Which system holds the master inventory and rates, and which systems only receive them?
  • Which direction does each connection sync, and how often?
  • Are all your room types, rate plans and restrictions supported on each channel?
  • How are modifications, cancellations and no-shows passed back?
  • Who investigates when a booking fails to arrive, and how will you find out it happened?

How Tiquo handles rooms and direct bookings

Tiquo includes hotel room management on the same platform as its POS, bookings, memberships, events, payments and CRM. Rooms are set up as inventory with named instances, so each stay is allocated to a specific room, and stays are booked by the night. The Hotel Rooms template sets up room types and their prices in Simple Mode, and pricing levels and seasons let a room type carry different nightly prices over date ranges, with an optional yearly repeat.

Tiquo's booking flows do the booking engine's job. Each flow has a hosted page and an embed code for your website, can require a deposit or full payment at booking, and supports Apple Pay and Google Pay. Bookings from a flow use the same room inventory that staff book from, and checking a guest in marks the stay as active until check-out.

Each guest has one profile across rooms, spa, dining and payments, so the team can see treatments and restaurant visits alongside the stay. If you also sell through online travel agents, put the questions above to any PMS vendor, Tiquo included, and confirm which channels it connects to, and in which direction, before you rely on it.
