How to design a restaurant floor plan that works during service

A restaurant floor plan works during service when servers can reach every table from the pass without crossing the guests' routes, and when the table mix matches the party sizes you book. Start from the parts of the room you cannot move: the kitchen pass, the bar, the entrance, the toilets and the fire exits. Draw the routes between them, then fit tables into the space that is left, favouring small tables that can be pushed together.

Judge any layout against a full Saturday service, with every table taken and the host trying to fit in a walk-in. A room that looks balanced on paper can still trap servers behind a queue for the toilets.

Start with the fixed points and the routes between them

Mark the fixed points on a scale drawing first. That means the entrance and host stand, the kitchen pass, the bar, service stations, toilets, fire exits and any steps or changes in level. Then draw the routes people take during service:

  • Server routes from the pass and the bar to every section, and back with empty plates
  • Guest routes from the door to the tables, and from the tables to the toilets
  • Escape routes to every fire exit

Where two routes cross, somebody will be waiting during a busy service. Keep the busiest server route, usually pass to dining room, short and free of guest traffic. Tables right beside the kitchen door or the toilets are hard to sell, so use that space for a service station where you can.

What table mix does a restaurant floor plan need?

Base the mix on the party sizes you book. Pull the last few months of bookings and count parties by size and by sitting, then compare that with the tables you have.

Small tables that push together give the host the most options. Two-tops can be joined into fours and sixes, and split again when the next booking is a couple. Fixed large tables and booths look good, but a six-top taken by two people on a busy night leaves four seats empty.

Plan the combinations in advance. Decide which tables join, label them on the plan and leave enough room that joining two tables does not block a route. Round tables suit groups who want to talk across the table, though they are harder to combine.

How do you keep a restaurant layout safe and accessible?

In England and Wales, the Regulatory Reform (Fire Safety) Order 2005 requires the responsible person, where necessary for people's safety, to keep routes to emergency exits and the exits themselves clear at all times. Any layout change that adds tables or moves furniture should be checked against your fire risk assessment.

In England, Wales and Scotland, the Equality Act 2010 places a duty on service providers to make reasonable adjustments for disabled people. The duty covers physical features, and avoiding the disadvantage a feature causes can mean removing it, altering it or providing a reasonable means of avoiding it. It is owed to disabled people generally, so you plan for it before a particular guest books.

In practice, that points to a step-free route from the door to some tables and to an accessible toilet, tables where a chair can be moved away for a wheelchair user, and room to turn at the end of an aisle. Ask about access needs at booking so the host can allocate a suitable table. This is general information; check current guidance from your local fire and rescue authority and the Equality and Human Rights Commission, or take advice, before changing the layout.

Plan server sections and service stations

Divide the room into sections that one server or team can cover, each with a service station for cutlery, water, glassware and card terminals. Balance sections by covers and by walking distance: a section next to the pass can take more tables than one at the far end of the room.

Number tables in a logical sequence within each section so new staff can find them, and keep the numbers on the plan identical to those in the POS, the booking system and any QR ordering tags. When the numbers differ between systems, food and bills can go to the wrong table.

Design the room for how the host seats it

The host stand needs a view of the door and as much of the room as possible. From there, the host decides where each arriving party goes, which tables are about to finish and whether a walk-in can be seated.

Build the plan around those decisions. Keep a few tables that suit walk-ins near the front, decide which sections close first on quieter nights and sketch the variations you use for private hire or a large group. A plan with a weeknight version and a busy-night version is easier to run than one layout that is wrong for half the week. If you sell the room for private dining, our guide to minimum spends and room hire covers the pricing side.

Test the restaurant layout during a real service

Before buying furniture or fixing booths in place, mark the layout on the floor with tape and walk it with the team. Carry loaded trays along the server routes, push a wheelchair or pram along the step-free route and sit at the tables you think are tight.

Then trial the layout on a quieter service. Ask servers where they got stuck, watch where guests queue and note any table staff avoided. Adjust and trial again before the busiest night of the week.

How Tiquo connects the floor plan to bookings and service

Tiquo's Floor Plan Designer lets you draw the space with walls, doors and windows, add floor textures and labels, and place tables and chairs from your existing inventory. Each table on the plan is an inventory item with its own capacity and booking rules, so the plan shows the same availability as the calendar and the booking flow, and it updates when a booking is made or changed. When you open a section or rearrange the room for a private event, you edit the plan yourself and staff see the new layout straight away.

During service, the plan reflects current bookings and availability. Staff can see which tables are free or occupied and select a table to view its bookings for the date, so the host does not need a separate chart. The same platform runs reservations, the POS and tabs for restaurants and bars.

For a full takeover, private hire can allocate every active resource in the configured inventory, with Tiquo checking the period against existing bookings and the party size against the combined capacity. Review the inventory before you offer it, so a whole-space booking reserves the tables you intend. Our guide to managing private hire enquiries covers the steps before the booking.
